Privacy Policy
Your information at a glance
- We only collect what we need to answer your enquiry and to do the work you ask us to do.
- Asking for a quote does not sign you up to anything. We use your details to reply to you, not to send you marketing.
- Tracking is your choice. Google Analytics and Meta (Facebook and Instagram) advert measurement only switch on if you say yes in Privacy choices, and you can change your mind at any time.
- We never sell your personal information.
- Ask us what we hold about you. Call 07876 645746 or email [email protected] and we will tell you, correct it or delete it.
Who we are
Ultra Clean Exteriors is a family run window and exterior cleaning business based in Uttoxeter, Staffordshire, run by Josh. We decide how the personal information described here is used, which makes us the "controller" under UK data protection law. Questions about it go to Josh on 07876 645746 or [email protected].
What we collect, and when
When you send the quote form
Your name, mobile number, postcode, the service you are asking about and anything you
write in the message box. Also, if you give them: your email address, your address (asked
for work other than window cleaning), your property type and how often you would like your
windows cleaned, and how you heard about us. With it we receive the page you sent it from and
how you found us: the page you first landed on, the website or app that sent you, any campaign
tags in the link you followed (for example utm_source), and whether the link was
from one of our Google adverts (a yes or no only, not the advert’s click reference). The form arrives with
us as an email; we do not keep a separate database of enquiries. Only if you have said yes to Marketing do we also receive
the Facebook click reference from the link and the two Meta browser identifiers described
under Marketing below.
When you call, text, WhatsApp, email or message us on Facebook
Whatever you choose to send, including photographs of the job. Photos are only used to look at the work and give you a price.
When you become a customer
Your name, address, phone number and email address if you give it, the work we do and when, the price, notes that help us do the job (for example "side gate code" or "dog in the garden"), and a record of payments.
When you simply visit the website
See Cookies and similar technology below.
Why we use it, and the legal basis
- To reply to your enquiry and give you a price. Because you asked us to, before any agreement (taking steps at your request before a contract).
- To do the work, run your regular cleans and take payment. To carry out our agreement with you (contract).
- To keep business and tax records. Because the law requires it (legal obligation).
- To keep the website working and stop spam and abuse of the quote form. Our legitimate interest in running a secure website.
- Google Analytics and Meta advert measurement. Only with your consent, which you can withdraw at any time.
Sending the quote form is a request for us to contact you about that enquiry. It is not consent to marketing, and we do not add you to any mailing list. If we ever want to send customers news or offers, we will ask first and every message will let you opt out.
Cookies and similar technology
We sort everything the website stores on, or reads from, your device into three groups. Only the first is switched on without asking you.
1. Necessary (always on)
These are needed for the site to work as you would expect, and do not track you.
- Your privacy choices. Remembered in your browser's storage
(
uc_consent_analytics,uc_consent_marketing) so we do not ask on every page. Kept until you clear your browser data. - Spam protection on the quote form. When you start filling in the form, your browser loads Cloudflare Turnstile, which checks that a person rather than a program is using it. To do that Cloudflare looks at technical information about your browser and connection; it is not used for advertising. A hidden spam trap and a minimum time to fill in the form help too.
- Security. Cloudflare, who host the website, check connections to protect the site from attacks.
Also without cookies
- Where your visit came from. If you arrive from a link with campaign tags, such as
one of our adverts, the tags, the first page you landed on, the website or app that sent
you and whether the link was from one of our Google adverts (yes or no, never the click
reference) are kept in your browser's session storage (
uc_attr_v1) until you close the tab. If you send the quote form, they go with it so we know which advert or listing worked. Nothing that identifies you or your browser to Meta or Google is kept here: a Facebook click reference (fbclid) in the link is only stored once you have said yes to Marketing, and is removed if you later say no. - The map. The map on the contact page is loaded from OpenStreetMap, so your browser asks OpenStreetMap's servers for it and they receive your network address. The rest of the site uses the fonts already on your device and loads nothing from Google unless you say yes to Analytics.
2. Analytics (only if you say yes)
Google Analytics. Shows us which pages, adverts and listings lead to calls, WhatsApp
messages and enquiries. It sets cookies (_ga, _ga_*) that let
Google recognise your browser on a later visit, normally for up to two years, and sends
Google details of your visit. None of this loads, and no data goes to Google Analytics,
unless you tick Analytics or press Accept all.
3. Marketing (only if you say yes)
Meta Pixel. Tells Meta (Facebook and Instagram) when someone who saw one of our
adverts visits the site or sends an enquiry, so we can see which adverts work and show them
to people more likely to need us. It sets cookies (_fbp, and _fbc
if you arrived from an advert), normally kept for up to 90 days. If you arrived from a
Facebook or Instagram advert, the click reference in the link (fbclid) is kept
with your visit so the enquiry can be matched to the advert.
Meta Conversions API. When you send the quote form with Marketing switched on, our server also tells Meta an enquiry was made, so it is counted once and not missed. That message includes your phone number in a scrambled (hashed) form, your network address, browser type and the Meta identifiers above. It is never sent if you have not said yes to Marketing.
Nothing in this group loads or is stored, and nothing about you goes to Meta from this website, unless you tick Marketing or press Accept all. If you later switch Marketing off, the Meta cookies and any stored click reference are removed.
Who we share it with
We never sell your personal information, and we never pass it to anyone for their own marketing. We use these services to run the business. They handle information on our behalf and under our instructions:
- Cloudflare hosts the website, runs the quote form and its Turnstile spam check, and receives email sent to our address.
- Resend delivers each enquiry from the quote form to our email inbox.
- Microsoft (Outlook) provides the email inbox where enquiries and messages are kept.
- Squeegee, the software we use to run our window cleaning rounds, holds customer details, visit dates, prices and payment records.
- Our bank, and the providers that process card and direct debit payments, handle payments.
- Google provides Google Analytics, only with your consent.
- Meta receives advert measurement information, only with your consent.
- WhatsApp (owned by Meta) carries any messages and photos you send us there, under WhatsApp's own terms and privacy policy.
We may also share information with our accountant, our insurer if there is ever a claim, or where the law requires it.
Some of these providers store or process information outside the UK. Where they do, they use the safeguards UK law requires for international transfers, such as the UK's approved contract clauses.
How long we keep it
- Enquiries that do not lead to any work: the enquiry email and any messages about it are deleted within 12 months.
- Customer records: kept while you are a customer and for six years after the last work, because we may need them for tax, insurance or a question about the work.
- Photos you send us: kept with the enquiry or customer record they belong to, and deleted with it.
Keeping it safe
Enquiries are sent over encrypted connections and kept in our password protected email account. Only Josh and the people working in the business who need it can see customer details.
Your rights
You can ask us for a copy of the information we hold about you, ask us to correct it, to delete it, to stop or limit using it, or to give it to you in a format you can take elsewhere. Where we rely on your consent, you can withdraw it at any time; for cookies, use Privacy choices. Call 07876 645746 or email [email protected]. We will reply within one month.
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes to this policy
If we change what we collect or who we use, we will update this page and the date below.
